Using the Unified Inbox

Understand how Kaname's unified inbox works, how threads are sorted, and how to navigate between views.

The Kaname inbox is the central workspace for all your email activity. It brings threads from every connected mailbox into a single sorted view so you never have to switch between Gmail tabs to get a full picture of your pipeline.

What the inbox shows

When you open the Inbox, you see a real-time feed of threads sorted by Kaname's AI routing logic. By default, threads are ordered by a combination of recency, lead intent signals, and follow-up priority — not just arrival time.

Each thread row shows:

  • Sender name and subject
  • Mailbox source — which Gmail account received the message
  • Stage label — if the thread has been assigned a CRM stage
  • Follow-up indicator — if a follow-up is scheduled for this thread
  • Snippet — the first line of the latest message

Inbox sections

The left sidebar contains several inbox views:

Reading and replying to a thread

Click any thread to open it. The full conversation history appears on the right. From the thread view you can:

  • Reply — compose a reply that sends from the same mailbox that received the message
  • Assign a stage — tag the thread with a CRM pipeline stage (New, Active, Waiting, Committed, Closed Won, Closed Lost)
  • Schedule a follow-up — set a date and time for a reminder
  • Add a note — attach a private note to the thread visible only to your team
  • Link to a product — associate the thread with a product in your CRM
  • Assign to a team member — delegate ownership of the thread

Thread stages

Stages are the core of Kaname's pipeline tracking. Each stage represents where a conversation is in your sales or support process:

To change a thread's stage, open the thread and click the stage selector in the thread toolbar.

Filtering and searching

Use the filter bar at the top of the inbox to narrow threads by:

  • Mailbox (show only threads from a specific Gmail account)
  • Stage (show only threads in a specific pipeline stage)
  • Assignee (show only threads assigned to a specific team member)
  • Date range

The Search view in the sidebar supports full-text search across all connected mailboxes and all thread history.

Keyboard shortcuts

Kaname supports keyboard shortcuts to speed up inbox navigation:

Archiving and snoozing

Archive removes a thread from the active inbox view. It does not delete the thread — it is still searchable and accessible from the search view. Use archive when a thread requires no further action.

Snooze (via Follow-up scheduling) temporarily hides a thread and resurfaces it at a specific date and time. Use snooze when you need to follow up on a thread in the future but do not want it cluttering your current inbox.
